1. Site Pricing & Rates
All site rates cover both Fair days (1st Saturday in February & 1st Saturday in March).

2. Application & Allocation Timeline
Follow these four steps to apply, receive your site invoice, and confirm your booking.
Step 1 β’ Oct 1
Apply Online
Applications open Oct 1. Returning vendors log in during October to claim or adjust the pre-allocated sites that have been emailed to them.
Step 2 β’ Nov 1
General Allocation
Unclaimed sites are released on Nov 1 and allocated to new applicants in date-received order.
Step 3 β’ Invoiced
Pay via Stripe
Once invoiced, pay within 14 days using the secure, fee-free Stripe portal link on your application. Invoice available for download.
Step 4 β’ Approved
Download Pass Pack
Upon payment confirmation, status changes to Approved, and your Pass Pack – with its map links and guides – becomes available for download.
π€ Multi-site requests
The default for site booking is one site per application. Multi-site requests must select the Multi-Site checkbox. Multiple sites on a single application must be of the same stall type (food 1/2 or non-food) β different types require separate applications.
π Site Changes & Relocations
Site layouts and dimensions are fixed prior to applications opening. If you request a change in site size (e.g., moving from a 6 x 3m to a 3 x 3m site), you will be relocated to an existing site of the requested size. Existing sites cannot be split or expanded in place.
β οΈ Strict 14-Day Payment Rule
Once your application transitions to the Invoiced stage, you have 14 days to complete payment via credit card on our secure Stripe portal. If payment is not received within 14 days, your site allocation will be released to other applicants on the waiting list. (Note: no transaction fees).
Paying via credit card through Stripe allows us to focus on getting you a Fair site without the need for additional administrative follow-ups.
3. Food Stall & Health Licensing
All vendors selling, preparing, or sampling any food items intended for human consumption must comply with South Wairarapa District Council food safety regulations and hold a valid license.

π On-Site Prepared Food & Drink
Required for food trucks, hot food stalls, espresso setups, and any vendor cooking, heating, or assembling food on-site.
- Covers mobile premises inspection fee
- Must supply a dedicated handwashing station inside your stall
- Subject to morning health inspector checks before market opening
Tier 2 License β’ $41.00
π― Pre-Packaged Off-Site Goods
Required for vendors selling sealed, pre-packaged items produced off-site and intended for home consumption.
- Applies to jams, preserves, honey, bottled sauces, & sealed baking
- All items must carry compliant commercial food labels
- No open sampling or cooking permitted under this tier

Registered food businesses will be required to provide a copy of their food business registration certificate, and to send in an updated version if the current one expires before the March Fair

4. Stallholder Policies & FAQs
Review the essential operational rules regarding weather, vehicle site access, and cancellation terms.
π§οΈ Weather, cancellation & refunds
Yes. The Martinborough Fair operates rain or shine. Stallholders are required to supply appropriate weights (minimum 15kg per leg), tie-downs, and weather protection. Site fees are non-refundable due to bad weather.
- Postponement/Cancellation: If extreme weather forces a postponement or cancellation, site fees are non-refundable.
- Single-Day Absence: The Fair budget relies on running both days. If you cannot attend one day, notify us in advance; if we can re-lease your site, a partial refund (less administrative fees) may be considered.
π Attendance β Can I register for a single Fair day?
The Martinborough Fair budget is based on running two market days, so stall applicants are expected to pay for and come to both days. If you canβt come to one of the days, let us know, and we will try to fill it for you. If the site can be filled, we will consider refunding that dayβs site fees (less some administration costs).
π Vehicle Access & Parking Restrictions
Vehicles may enter the Square for pack-in strictly between 6:00 AM and 7:30 AM on Fair mornings. All non-stallholder vehicles must be off-site by 7:30 AM. Pack-out cannot begin until public roads reopen at 4:00 PM.
π‘ Stall allocation policies
Priority stall allocation is given to stall holders who attended the previous Fair(s) until the end of the opening month. From the beginning of the following month, all remaining stall sites are allocated on a site availability, product suitability, first-come, first-served basis. We place previous stallholder requests first, and then evaluate and place new applicants.
While every effort is made to accommodate stallholder needs and site requirements, the Fair organisers reserve the right to make site allocation changes as required, in order to best serve the interests of the Fair.
π€¦ββοΈ Maintaining Priority Status
Stallholders who miss a Fair without letting us know may lose their site priority consideration even if they have held it for some time. This has a positive effect for others, opening the way for new stallholder applicants and for those who wish to change to other sites.
